  • About the Position

    Namati Sierra Leone is seeking a dynamic, experienced Deputy Director of Operations to build and steward our financial, administrative and human resources infrastructure. Reporting to the Namati Sierra Leone Director, the Deputy Director will ensure rigorous, consistent financial management across all operations; oversee human resources management and professional development; manage funder relationships; and oversee all grants given and received by Namati Sierra Leone. Outside Sierra Leone, the Deputy Director will partner with Namati finance, administration, and people operations leaders around the world to ensure we’re a tightly integrated global organization. The Deputy Director must bring strong technical, leadership and relationship-building skills, as well as a practical bias for action and problem solving. Ultimately, we’re looking for someone who feels a deep resonance with our mission to bring justice everywhere and who will be relentless in building and supporting our team to bring this mission to life.

  • Duties and Responsibilities

      FINANCIAL MANAGEMENT

    • Establish guidelines for budget and forecast preparation, and prepare the annual budget in consultation with the Director. Manage all funder, and project-specific budgets and reports in partnership with frontline staff.
    • Design, maintain, and implement financial/operational policies and procedures to ensure internal controls, safeguarding of assets, regulatory compliance, and the reliability of financial statements and reports within Namati Sierra Leone.
    • Oversee the processing of financial transactions, including payroll, accounts payable, accounts receivable, and month-end and year-end closings.
    • Ensure that accounts payable are paid in a timely manner, and ensure that accounts receivable are collected promptly.
    • Maintain the chart of accounts.
    • Maintain an orderly accounting filing system.
    • Maintain a system of controls over accounting transactions and budgets designed to mitigate risk.
    • Prepare and issue timely and thorough financial statements to Namati Global.
    • Coordinate the provision of information to external auditors for the annual audit and ensure that reported results comply with relevant reporting standards.
    • Comply with government reporting requirements and tax filings.
    • Conduct additional financial analyses as needed.

      HUMAN RESOURCES

    • Create and oversee accessible human resources (HR) policies and procedures that are up-to-date, in line with local law, and that build and improve Namati’s organizational culture.
    • Administer a full suite of benefits for Namati Sierra Leone staff.
    • Serve as the primary employee relations contact for Namati Sierra Leone.
    • Partner with Namati’s Global People Operations Team to conduct full cycle talent acquisition and prepare employment offers for Namati Sierra Leone.
    • Oversee new employee orientation.
    • Provide strategic direction and contribute to planning for Namati Sierra Leone employee and team professional development, leadership development and coaching, and succession planning.
    • Partner with Namati Global to build thoughtful people systems (e.g. compensation and benefits) within Namati Sierra Leone that are rooted in local law and context but are systematic and equitable with the rest of the global organization.

      ADMINISTRATION

    • In partnership with the Director, draft, review and approve all grant, contract, memorandum of understanding (MOU) and other agreements on behalf of Namati Sierra Leone.
    • Partner with Namati Global’s Chief Financial Officer (CFO) to oversee Namati Sierra Leone grantmaking functions to local partners including the development of grantmaking guidelines and procedures.
    • Oversee all procurement; contract on behalf of the organization with outside vendors and organizations to obtain equipment and services required to support activities.
    • In partnership with Namati Global, establish and oversee a risk management program including purchase of appropriate insurance coverage for personnel and property, maintenance of strong internal controls to prevent fraud, and management of decision processes to minimize risk.
    • Maintain an inventory of Namati Sierra Leone property.
    • Represent Namati Sierra Leone with regard to facilities issues.
    • Manage Namati Sierra Leone registration and compliance issues.

      MANAGEMENT AND TEAM CAPACITY BUILDING

    • Directly supervise a dedicated, small team of finance, administrative, and operations professionals.
    • Build the financial and operational capacity of and empower Namati Sierra Leone staff members by conducting regular interactive trainings.
  • About you/must-haves for the position

    • Track record of excellence in operations: You likely have 6-10 years of experience in mid to senior level roles - somewhere at the nexus of operations, finance, administration and HR. You have prior experience leading internal reporting, payment processes, and managing organizational accounts.
    • Ease with technology: You’re a technophile, and when given the opportunity to work with a new program or application, you quickly become fluent. You are able to navigate and use Quickbooks and Excel with ease, and are knowledgeable of the market for other accounting and operations systems.
    • Detail-orientation and precision: You genuinely enjoy completing detail-oriented tasks. You are dedicated to letting no ball drop, and deftly juggle multiple tasks. As a basic practice, you check and double check your work to ensure it is free of errors, and feel a sense of deep satisfaction upon successful completion of every task you tackle.
    • Efficiency and organization: You’re highly organized and manage complex processes confidently and efficiently. You know how to work with input from a variety of stakeholders while maintaining control, scope, and timeliness. You always nail deadlines.
    • Resourceful problem-solving skills: You know how to find answers and can figure out how to solve problems when they arise. You possess the personal initiative needed to improve processes without prompting. You feel comfortable working independently.
    • Sound judgment and integrity: You are well-regarded for your judgment and are known for making reasoned, well-thought out decisions, even in the face of limited or conflicting information.
